Scope
This policy covers Studio W9 public websites, account access, booking and project inquiries, supplier accreditation, authorized payment and communications records, applicant or customer support, analytics used with consent, and related approved business workflows.
Information we collect
Website, inquiry, and booking information
We may collect names, email addresses, phone numbers, organization details, requested dates, shoot or event type, attendance or crew size, project requirements, messages, attribution parameters, and communications needed to assess an inquiry or administer an accepted booking.
Account and authentication information
When an account is required or chosen, we receive authentication-provider, immutable account-subject, verified-email, display-name, session, and access-control information. Authentication providers process sign-in data under their own terms. We do not receive the password used with a third-party provider.
Supplier accreditation information
For supplier applications, we may collect the verified account identity; legal and trading names; business type and address; representative and business-contact details; services, categories, coverage, capacity, client types, portfolio and reference information; registrations, permits, insurance, certifications, inventories, crew qualifications; VAT and commercial information; declarations and consent evidence; application status; reviewer actions and reasons; correspondence; renewal, suspension, expiry, withdrawal, or reconsideration evidence; and security or audit metadata.
Supporting documents
Supporting evidence may contain company and representative information. Do not submit passwords, full payment-card data, unnecessary government identifiers, confidential client materials, or third-party personal data unless you are authorized to provide it and it is necessary for review.
Payment information
Authorized payment providers process card or account credentials under their own privacy and security terms. Studio W9 may receive transaction status, amount, payment reference, payer contact details, settlement information, and evidence needed for reconciliation. Studio W9 does not require a full card number in a booking or supplier form.
Technical, security, and usage information
We may process IP-derived security information, timestamps, browser or device metadata, correlation identifiers, authentication events, rate-limit records, file type and hash information, malware-scan results, audit logs, and error diagnostics to protect the service, prevent fraud, investigate incidents, and maintain reliability.
Purposes and legal bases
Depending on the transaction and applicable law, Studio W9 processes personal information with consent, to take requested steps before or during a contract, to comply with legal obligations, to establish or defend legal claims, and for legitimate operational and security interests that do not override applicable rights.
- Respond to inquiries and assess availability, scope, commercial fit, safety, and operational requirements.
- Administer accounts, accepted bookings, communications, authorized payments, support, and disputes.
- Receive, screen, verify, decide, administer, renew, suspend, expire, or close supplier accreditation.
- Validate evidence, prevent malicious uploads, control access, investigate abuse, maintain audit trails, and reconcile partial failures.
- Meet tax, accounting, legal, regulatory, insurance, safety, fraud-prevention, and recordkeeping obligations.
- Measure site performance and campaign effectiveness where the required consent is available.
How information is processed
Information may be collected through web forms, authentication providers, email, phone, authorized payment channels, staff review, technical logs, and approved workflow systems. Supplier evidence is kept separate from the public website and is referenced through controlled records rather than permanent public download links.
Supplier accreditation is not decided solely by automated processing. Automated checks may validate completeness, file structure, security, duplication, or routing, but an authorized human reviewer makes or approves the accreditation decision.
Recipients and processors
Access is limited to authorized Studio W9 personnel and service providers that need the information for the stated purposes. Processor classes may include cloud hosting, authentication, business applications and Dataverse, private object storage, malware and security services, email and communications, payment processing, analytics with consent, monitoring, backup, professional advisers, and legally authorized public authorities.
Cloud providers may process information in jurisdictions where their approved infrastructure or support services operate. Studio W9 uses contractual, access-control, and security measures appropriate to the processing and applicable law.
Security
Studio W9 applies measures appropriate to the nature of the information, including authenticated access, role separation, least-privilege managed identities, private evidence storage, non-public object identifiers, integrity hashes, malware scanning where activated, audit logs, bounded public projections, encryption provided by approved platforms, and fail-closed behavior when required dependencies are unavailable.
No security measure eliminates all risk. Please notify us promptly if you believe an account, application, document, payment record, or communication has been accessed or used without authority.
Retention
- Booking, project, waitlist, inquiry, and contact records: retained as needed for response, commercial follow-up, accepted booking administration, accounting, legal claims, and dispute handling.
- Rejected, withdrawn, expired, or otherwise closed supplier applications and their ordinary evidence: normally retained for up to 24 months after closure.
- Approved supplier records, category approvals, consent and decision audit evidence: retained during the active relationship and normally for up to five years afterward.
- Authentication, access, fraud-prevention, and security logs: normally retained for up to 12 months unless an incident, legal hold, or investigation requires longer retention.
- Payment, tax, accounting, contract, and dispute records: retained for the period required by applicable obligations or the defense of claims.
Records may be deleted, anonymized, or retained longer where a legal hold, regulatory requirement, active claim, security incident, fraud investigation, accounting requirement, or other lawful exception applies. Data is not kept longer than necessary for the identified purpose and applicable obligations.
Your rights
Subject to applicable law and lawful exceptions, you may request information about processing, access, correction, objection, blocking, erasure or deletion, withdrawal of consent where consent is the basis, data portability where applicable, and assistance concerning damages or a complaint.

Analytics, advertising, and cookies
The site may use limited analytics or advertising technologies to measure page performance, referral sources, and paid-media destination quality. Marketing technology is loaded only when the configured consent conditions are met. Without the required consent, the Meta Pixel does not load and no marketing event is sent to Meta.
When an inquiry is successfully persisted, a lead event may be measured with a shared event identifier to reduce duplicate counting. An inquiry or supplier application is not recorded as a purchase, confirmed booking, or approved supplier.
Children
Studio W9 business, booking, and supplier services are not directed to children. A person submitting on behalf of an organization must have authority to do so.
Changes to this policy
We may update this policy when services, processors, security controls, retention requirements, or law change. The date above identifies the current published version. Supplier consent records retain the applicable policy identifier, version, and integrity hash.
