Supplier Accreditation Policy

Purpose and scope

This policy governs applications by suppliers and service partners seeking consideration for Studio W9 production, event, venue, and related approved requirements. Accreditation is category-specific and records that Studio W9 completed an internal review based on the information available at the time.

Accreditation is not a booking, purchase order, exclusive appointment, guarantee of project volume, referral commitment, approved quotation, payment commitment, or authority to represent Studio W9.

Evaluation criteria

Studio W9 may consider the following factors in proportions appropriate to the requested category:

Studio W9 may request additional evidence, conduct an interview, request an ocular or technical demonstration, or decline to proceed where evidence is incomplete, inconsistent, expired, unsafe, unverifiable, or outside current requirements.

Application and accreditation states

Staging and other internal technical states are not public decision states. An unknown or inconsistent status is shown as unavailable rather than guessed.

Human review and timing

Every accreditation decision is made or approved by an authorized human reviewer. The public website and its API cannot approve, reject, suspend, renew, or create an approved supplier automatically.

No fixed review service level is promised. Timing depends on completeness, category complexity, reference checks, credential verification, security scanning, reviewer availability, and current Studio W9 requirements. Applicants should not rely on an application for a pending event or production unless Studio W9 separately confirms the supplier in writing for that engagement.

More information, correction, and resubmission

When additional information is required, Studio W9 identifies the application reference and requested action through an authorized channel. Until a separately secured self-service amendment workflow is released, the applicant must reply from the verified account email or contact business@w9studio.net with the reference.

Do not send passwords, full payment-card data, unnecessary government identifiers, confidential client material, or third-party personal information that the applicant is not authorized to disclose.

Validity, renewal, expiry, and suspension

The written approval notice controls the effective date, approved categories, validity period, conditions, and evidence-expiry requirements. Approval is not perpetual unless the notice expressly says so.

Studio W9 may require updated registrations, permits, insurance, rate information, safety documents, equipment records, crew credentials, or other evidence before renewal or continued use. Accreditation may be suspended or allowed to expire when required evidence lapses, a material fact changes, performance or conduct creates risk, information proves inaccurate, or continued accreditation is inconsistent with legal, safety, security, commercial, or venue requirements.

Engagement-specific approval

Accreditation does not replace project-specific review. Every proposed supplier engagement remains subject to scope, availability, quotation, technical rider, access, ingress and egress, power, rigging, fire and life safety, noise, crowd management, permits, insurance, security, venue restoration, and other written requirements applicable to that engagement.

Studio W9 may select another supplier, use a client-nominated supplier, require a competitive quotation, or decide not to procure the service.

Conduct and conflicts

Applicants and accredited suppliers must disclose material conflicts of interest, referral fees, commissions, related-party arrangements, and any circumstance that could improperly influence selection or pricing. They must not claim exclusivity, guaranteed work, or authority to bind Studio W9.

Harassment, unsafe conduct, fraud, bribery, falsified evidence, unauthorized data use, misrepresentation, or material breach may result in rejection, suspension, removal, referral to authorities, or other lawful action.

Withdrawal and reconsideration

An applicant may withdraw by emailing business@w9studio.net from the verified account email and stating the application reference. Withdrawal does not require deletion of records that Studio W9 must retain for legal, security, fraud-prevention, accounting, audit, or dispute purposes.

An applicant may request reconsideration when material evidence was unavailable or misunderstood during review. The request must identify the application reference, the specific issue, and the new or corrected evidence. Reconsideration is discretionary and does not guarantee a different result.

Privacy and evidence security

The Privacy Policy explains the information collected, purposes, recipient classes, security measures, retention periods, and data-subject rights. The Data Deletion Instructions explain how to request access, correction, blocking, withdrawal, or deletion where applicable.

Supporting documents are stored privately. A document remains pending and unavailable for normal reviewer download until the approved security-scanning process records a clean result. Quarantined or failed documents are not treated as valid evidence.

Policy changes

Studio W9 may update this policy to reflect operating, legal, security, or supplier-network changes. The policy version accepted with an application is retained as consent and audit evidence.
